The Task Overview report provides quick insight into recruitment follow-up. You will be able to find "Task Owners" that may need additional coaching when it comes to completing tasks and moving prospective students through each phase of the recruitment process.
- Account admins and other user groups who have permission to view Deal Reports can access the Task Overview report. Learn about user permissions.
- This report is interactive. To interact with different areas of the report, hover your mouse over them and click the item. A secondary layer of information will appear where you can view details and download the information.
Accessing the Task Overview report
There are two ways access the Task Overview report:
- Click "Reports" located in the left menu.
- Click "Deals."
- Click "Task Overview."
Or
- Click "Deals" located in the left menu.
- Under "Reports," click "Task Overview."
The report will load and display data for deal and contact tasks created within the last 14 days, including:
- Report filters
- Task totals by status with percentages
- Task summary over time graph
- Task summary charts
- Task Outcome by Rep graph
- Task Outcome Sentiment by Rep table
- Rep Task Outcome Details table
Filtering the Task Overview report
Located at the top of the report are several options that you can use to filter your data. Use one filter or multiple filters to customize your view.
To start, choose from the following in the "Related to" drop-down to select the type of task:
- Any
- Contact
- Deal
Once you choose the "Related to" Task, the filters will reflect the options for that task. The following filters will be available for all tasks:
- Task Types
- Task Outcome
- User Groups
- Task Owner
- Task Created
- Task Due
- Task Completed
Additionally, there will be specific filters available for Contact and Deal tasks:
"Related to" Contact:
- Contact
- Contact Task
"Related to" Deal:
- Deal
- Deal Task
- Pipeline
Each filter is set to "All" by default, and the Task Created filter is set to 14 days by default.
If you wish to filter by more specific data or use a different period, use the dropdown fields and select your preferred options.
Top key performance indicators (KPIs)
Under the filters are the top key performance indicators, or KPIs. These KPIs show task totals accompanied by percentages. The numbers displayed here depend on the parameters you set in the filters at the report's top.
The KPIs include:
- Total Tasks
- All tasks within the time period you set. Include tasks with the following statuses: Completed, Overdue, and Open.
- Completed Tasks with a percentage
- The number of tasks marked as "Complete"; Percentage is the number of completed tasks to the number of total tasks.
- Overdue Tasks with a percentage
- The number of tasks that are not complete and the due date is greater than the current date.
- Open Tasks with a percentage
- The number of tasks not marked as complete and the due date is less than or equal to the current date.
Task Summary graph
Located under the KPIs is the Task Summary graph. This line graph provides an additional layer of insight into your team's performance over a period of time you set.
Each line in the graph represents a different KPI. These KPIs include:
- Tasks opened
- Tasks completed
- Tasks due
- Tasks overdue
- Tasks completed late
- Tasks completed on time
Hover your mouse over any data point to view more information. Clicking any data point displays a table with more details to download into a CSV file.
Task Summary charts
Next on the page are task summary charts. These donut charts provide an additional visual to see how tasks are broken down over time.
These charts include:
- Task status
- Broken down by task status - Open, Completed, and Overdue
- Task types
- Broken down by each task type in your account, including standard and custom task types
- Task outcomes
- Broken down by each task outcome in your account
- Task sentiment
- Broken down by the following task sentiments: Positive, Negative, or Neutral - task sentiment is tied to each task outcome
