If you have duplicate Contact Records in your account, combine them with the Merge function.
Take note
- It is not possible to merge more than two contacts at the same time
- Once you merge a contact, the action cannot be undone
How to merge contacts
1. Click Contacts on the left menu.
2. From the Contacts Overview page, click on the contact record of the Source contact. This is the contact that you want to merge into another contact. Once the merge is complete, the email address associated with the Source contact will no longer exist in your account.
3. Click the dropdown next to the "Send a Campaign" button at the top right.
4. Click the "Merge" option that appears.
5. A modal window will appear, suggesting other contacts to merge with the Source contact. These are referred to as Destination contacts. If the contact you want to merge into is listed, click the "Merge" button. If your desired Destination contact isn’t listed, enter their email address in the search bar and then click the "Merge" button.
After the merge is complete, the email address for the Destination contact will still be in your account.
6. Resolve field conflict(s).
If your two contacts have different values for the same field(s), you will be prompted to choose which contact's field values to keep and which to discard. To view all conflicting fields between your two contacts, click on "View all conflicting fields."
The Destination contact will be displayed on the left, while the Source contact will be shown on the right.
To select which contact's field(s) you want to retain, click on that contact's name, and then click "Next." This selection will apply to all conflicting fields during the merge process.
Resolve automation conflict(s).
If the two contacts are included in the same automation(s), you will need to choose between the Source Contact'sversion of the automation(s) or the Destination Contact's version.
To view all conflicting automations, click “View Conflicting Automations.” The Destination Contact will be shown on the left, while the Source Contact will be on the right.
To select a version, click on the name of the contact you prefer, then click “Next.” Your choice will apply to all automations in which both contacts are involved.
Read and click the checkboxes in the final confirmation modal. Once finished, click "Merge" to complete the merge action.
A confirmation message will appear when the merge is complete. Click "Finish" to exit.
After the merge is complete, the Source contact will be combined with the Destination contact; the record for the Source contact will no longer exist.
Additional notes
Tags from the source contact will be added to the destination contact's profile. These tags will be included in addition to the tags that the destination contact already has.
Additionally, open deals associated with the source contact will be merged into the destination contact. For instance, if Contact A is merged into Contact B, any deals linked to Contact A will be transferred to Contact B.
Past campaign activity from the source contact will also be incorporated into the activity feed of the destination contact.
Please note that custom object data will not be merged.
